WhatsApp Business API or your personal number: how to choose

Two ways to use WhatsApp for sales

Many Indian sales teams start by chatting with leads from the phone's own WhatsApp. It is free and familiar. As the team grows, the limits show: chats live on individual phones, a departing employee takes conversations with them, and bulk messaging risks the number being restricted.

The official Business API is the compliant route for teams and for broadcasts. It adds cost and a setup process.

Comparison

A short, honest summary of the differences.

  • Personal or Business-app number: quick to start, no per-conversation fee, but chats are tied to a phone and automated bulk sending can violate WhatsApp policy.
  • Business API: team inbox, approved templates, opt-in broadcasts and chatbots, with Meta conversation fees and a number that cannot be used in the app at the same time.
  • Many teams use both: personal sync for one-to-one agent chats, and the API for broadcasts and automation.

Our advice

If you only chat one-to-one and your volume is small, syncing the number you already use is reasonable, with the understanding that policy risk exists. If you broadcast, run campaigns or need a shared inbox, move that traffic to the API and get opt-in for every contact.

Frequently asked questions

Can the API number also be used in the WhatsApp app?

Not at the same time. Use a separate number for the API.
